Software for rowing regatta organisers

The operating system for your rowing regatta.

From the online entry system to the awards programme: entries, communications, dashboards, volunteers and the whole print pack — in one place. Built for the people running small and large events.

Free until 31 August 2026 · no card required
Built inside the National Schools' Regatta. Now ready for any multi-club rowing event.
The current setup

Right now your regatta runs on six WhatsApp groups, three spreadsheets, two designers, a draw from time-team.nl, a printer chasing the t-shirt list, and one email in the wrong direction at 11pm on a Friday.

LudumEvents is what replaces all of it.

Who it's for

Three jobs at the regatta. One app each side of the desk.

Organisers run the event. Coaches show up with their crews. Volunteers keep the day moving. Ludum gives each of them only what they need — and nothing they don't.

For the organiser

The director's chair, on a single screen.

“I've got 200 crews, 47 clubs, a printer waiting on blade artwork, and a forecast that's about to change.”

  • One dashboard — live counts of clubs, crews, invites sent, payments in.
  • Every coach reachable in three clicks — pick a scope, write the message, send.
  • Every print export ready to ship — t-shirts, blade colours, brochure, infographic, timetable PDF.
  • Every volunteer in their slot — no spreadsheet handed to a friend on a clipboard.
For the coach

Everything you need on race day, and nothing you don't.

“Did the start time change? Where do we park the trailer? Did anyone send me the new draw?”

  • One inbox per regatta — only what affects your crews, in one thread.
  • Push when it matters — safety calls and lane swaps land on the lock screen.
  • Crew sheet in your pocket — rowers, boats, events, even offline.
  • Reply privately — not Reply-All to 311 other coaches.
For the volunteer

Your shifts, your spot, your day — sorted.

“When am I on, where am I, and what am I doing?”

  • Self-serve sign-up — pick your shifts from one link, see them fill in real time.
  • Personal timetable — only your slots, with location, time and team.
  • Live updates from the desk — no more chasing organisers for changes.
  • Capacity at a glance — know a slot's full before you turn up.
What's in the box

Five things, one app.

Everything a regatta director already does — just done in one place, in a tenth of the time, with a record of every action.

01 · Entries

Data in. Regatta out.

Drop in your Entry system download, clubs, events, crews and competitors land in seconds. Re-upload anytime — race-day flags and sent invites survive.

  • Zip import in one click
  • Diff added/removed/modified on every re-upload
  • Coaches dedup’d across multiple clubs
02 · Communications

Six scopes. Two-way replies.

Reach one coach, one crew, one event, one club, the committee, or every coach you've got — with push first and email as the silent backup.

  • Six precise scopes, not "everyone"
  • Replies thread privately back to you
  • Confirmation step on global sends
03 · Dashboards

The screen you actually look at.

Clubs overview, doubling-up alerts, crew status, payment progress — the spreadsheets you used to chase, alive on a screen.

  • Doubling-up flagged automatically
  • Per-club entry and payment view
  • Mark crews eliminated on race day
04 · The print pack

Apps with the app.

Generate a print-ready boat number for time trials, with club, event and crew info. Create T-shirt name list, blade colours sheet, programme infographic and some social media posts.

  • Some insightful social media posts
  • T-shirt names for your shop
  • Infographic for socials, and website
  • Zero manual edits per new club
05 · Volunteers

Slots that fill themselves.

Create the shifts you need, share one signup link, watch capacity tick up. Each volunteer gets their own timetable for the day.

  • Self-serve signup, no logins
  • Per-volunteer personal timetable
  • Live capacity, no double-booking
How it works

Day one to race day, in three steps.

Most regatta directors set up Ludum in a single sitting. Here's the path from a fresh login to a coach's phone buzzing on the towpath.

01 · Import

Drop in the Entries Data.

Clubs, events, crews and competitors populate. Branding, dates and your sender email go in once. Your race-day eliminations and sent invites are preserved on every re-import.

02 · Invite

One click, every coach.

Bulk magic-link invites go out, deduped by email. Coaches install the app, see their crews, and you can start composing. Re-clicking only emails new coaches — never spam.

03 · Run the day

Broadcast, swap, mark, hand off.

Send the wind warning to every crew on the water. Swap a lane. Mark an elimination. Hand the printer the brochure pack. Watch read-receipts roll in.

Why Ludum

We built this because we run regattas.

Ludum started inside the National Schools' Regatta — one of the busiest three-day rowing events in the World, with hundreds of crews, dozens of clubs and a coach for every one of them. The communication tools didn't exist. So we built them.

The result is a platform that takes the messy reality of a competitive regatta — coaches who run for three clubs, last-minute draws, the wind picking up at the wrong end of the course, the printer who needs the blade brochure on Wednesday — and turns it into an inbox you can actually run an event from.

It's now generalising to any multi-club rowing event.
